Travel & Accommodation Coordinator
The Travel & Accommodation Coordinator is the specialist Production-department role focused exclusively on getting cast and crew to and from locations and accommodating them once they arrive. Appears on productions with significant location moves, international crew, or extended hotel + per-diem operations.
What the role does
- Books flights, trains, ground transport for cast + crew
- Arranges accommodation — hotels, serviced apartments, location-rented houses
- Manages per-diem distribution in coordination with the Production Accountant
- Resolves travel + accommodation issues as they arise during production
- Maintains supplier relationships with hotels, airlines, transport providers
- Handles rate negotiation for bulk bookings + production discounts
- Coordinates visa and immigration logistics for non-EEA crew (see Visas and working permits — non-EEA cast and crew)
Position in the production
Reports to Production Manager or Production Coordinator depending on the size of the operation. On large productions with international cast / crew, may report directly to the Line Producer given the financial scale of the travel + accommodation spend.
Career progression
SI Competency Framework places this role at Level 3 — Experienced. Often reached laterally from Production Coordinator or from hospitality / travel industry backgrounds.

Freelance. Prep + shoot intensive on productions with significant location moves.
