Data, AI and Retention
Producers and funders ask the same handful of questions in procurement. Here they are, answered plainly — the full legal text is the Privacy Policy; this page summarises it.
Where your data lives
Togra runs on servers in the EU (Hetzner, Germany), with encrypted off-site backups. There is no separate cloud storage provider holding your project data — budgets, contracts, call sheets and the rest live in one place, under one set of access controls, not scattered across third-party services.
Artificial intelligence
We do not run your data through any AI or machine-learning system.
Togra's own calculations — S481, AVEC, funding matrices, Cultural Test scoring and the rest — are written rules against the schemes' own published figures (see the Sources and Update Log), not AI output. No feature in the product sends your project data to an AI model, so there is nothing of yours for a model to be trained on, and nothing to attribute or caveat for AI copyright.
Where a funder's own application form asks whether you used an AI tool to prepare your submission, Togra surfaces that question because the funder requires it — that is a disclosure about your process, not something Togra does to your data.
Retention and deletion
While your account is active
Your data is kept for as long as you hold an account, so your production history stays available to you.
If you close your account
Deletion is immediate and irreversible once confirmed — not a soft-delete sitting in a bin for weeks. A backup copy already taken before deletion is retained for up to 30 days under our backup provider's default lifecycle, then it's gone too.
Statutory records
Some records — S481 claim files, payroll, tax records — are kept for the period the law requires (6-7 years, depending on the record), regardless of account status. This is a legal floor, not a choice Togra or you can turn off.
Everything else
The full table, category by category, is in the Privacy Policy's Retention section.
Backups
Nightly database backups, kept off-site and encrypted, with point-in-time recovery available within minutes for the live database. Backups exist to recover from a mistake or an outage — not as a second, longer-lived copy of data you've asked us to delete; see Retention above for how long a backup of deleted data survives.
Questions
If a question here isn't answered fully enough for a procurement form, email niall@scannain.ie — most of these questions have a one-line answer once you ask the specific one.
